Volunteer at WCNA 2025
There are several opportunities for volunteering at WCNA 2025 in NYC! All scholarship recipients will be expected to volunteer for three hours throughout the course of the conference as part of their acceptance of their scholarship. A volunteer committee will coordinate the volunteer schedule and will be in communication with scholarship recipients to get them signed up.
The preliminary schedule will go out in mid-August when the program is available. Volunteers will be able to request changes so they won't miss discussions that are important to them-- we will do our best to accommodate these requests.
Volunteer roles
- Room monitor: Keep time for the speakers, moderate questions as needed to keep sessions running on time, check in the Zoom room for questions from virtual participants. Additionally, room monitors will be checking with virtual participants to ensure they can hear, and will make sure their sessions are being recorded on Zoom.
- Safe space: Safe space volunteers attend assigned sessions and are available for conference attendees that may need assistance such as those who many need help getting to a quiet space, or are having unwanted interactions with other attendees. All volunteers who work safe space shifts will receive training and guidance on how to handle possible situations. Safe space volunteers will also be needed for the various activities during the Culture Crawl. Those volunteering for the Culture Crawl may be asked to also help guide attendees to the site.
- Morning set up: Ensuring each room is logged into Zoom, communicate with the translation team to ensure that they're able to access the room and that translation is working correctly.
- Registration table: Help attendees get signed in, get their badge, get directions and help answer questions, etc.
Other volunteer opportunities
It takes a lot of volunteers to run WCNA and we are always looking for new folks to join the various committees that help put the conference together each year.
Volunteer Committee
Will organize and schedule the volunteers (mostly scholarship recipients) prior to the conference.
Program Committee
Will set up submissions and then put together the program for the conference. The Program Committee will also work to organize the Culture Crawl and keynote/guest speakers.
Safe Space Committee
Will adapt the Safe Space Policy for WCNA and make decisions around how to enforce the policy. The Safe Space Committee will require additional volunteers at the conference and helps organize volunteers and volunteer duties.
Scholarship Committee
Will set up applications and make decisions on who will receive scholarships. The scholarship process is changing this year with the Wikimedia Foundation handling travel arrangements, this should streamline the process and make it less time consuming. Committee members will work with the Safe Space Committee to organize volunteers (and set up volunteering for scholarship recipients.
